When a system reaches its limit, a thoughtful transition to a person can keep the work moving without losing context.
Treat the handoff as part of the journey.
An AI agent can move routine work forward, but some requests need a person. The transition should be designed with the same care as the first interaction. People need to know what has happened, why the handoff is needed and what to expect next.
Begin by mapping the moments that call for human judgment: an unclear request, a sensitive decision, a missing source or a customer who simply asks for a person. These are normal routes through the experience, not exceptional failures.
Carry the useful context forward.
A handoff feels broken when someone has to repeat the whole conversation. Pass along a concise summary of the request, the steps already taken and any sources the agent used. Let the person review that summary before it is shared.
The receiving teammate should see the original words when they matter, alongside the summary. That helps them distinguish a customer's intent from the system's interpretation.
A good handoff preserves the progress a person has already made.
AIQENTA / Journal note
Make the next step visible.
Tell people whether their request is queued, assigned or awaiting a response. If there is an expected time frame, show it in clear language. If there is no reliable estimate, give another useful route such as a support address or a saved reference number.
Do not imply that a person is already reviewing a request if it has only been submitted. Honest status reduces the need for people to ask for an update.
- 01Identify the moment a person should take over.
- 02Carry the useful context into the next step.
- 03Show who is responsible and what happens next.
- 04Review handoffs with the people receiving them.
Give the team room to improve.
A good handoff leaves a trace of where the agent stopped being helpful. Review these moments to find missing knowledge, confusing instructions and tasks that need a different interface.
The goal is not to eliminate every handoff. It is to make each one purposeful, clear and respectful of the person's time.
